Position Overview: Administrative Support Specialist

The Administrative Support Specialist at UTEP’s CIERP provides crucial administrative and clerical assistance to department leadership and staff. This role requires the ability to manage a variety of tasks related to report generation, inventory management, travel coordination, and event planning, all while maintaining strict confidentiality and adhering to university policies. The position is designed for someone who thrives in a busy office setting and enjoys collaborating with a diverse team.


Key Responsibilities

  • Administrative Support: Draft and prepare correspondence, memorandums, and purchase requisitions. Generate and distribute reports as requested.
  • Calendar & Staff Management: Maintain vacation schedules, coordinate work shifts for student employees, and ensure staffing efficiency.
  • Data & Request Tracking: Log and track incoming data requests and monitor the progress of pending inquiries.
  • Event & Meeting Coordination: Arrange and manage internal and external meetings, conferences, and special events, including travel arrangements and logistics.
  • Record Management: Serve as the custodian of university records, ensuring they are filed correctly and kept secure.
  • Financial Oversight: Handle the monthly reconciliation of accounts and manage documentation related to travel expenses and reimbursements.
  • Office Operations: Order office supplies, manage inventory, and coordinate office services like facilities and technology support.
  • Liaison Role: Act as a point of contact for internal and external stakeholders, ensuring effective communication and smooth operations.

Qualifications

Required:

  • Education: Associate’s degree or equivalent experience in an administrative role.
  • Experience: A minimum of 4 years in an office administration or related role, preferably in a higher education environment.

Preferred:

  • Experience working in a higher education setting with knowledge of university policies and administrative procedures.
  • Proficiency in Microsoft Office and the ability to quickly learn university-specific software systems.

  • Physical Demands: Must be able to lift and move up to 10 pounds, with frequent standing, walking, and sitting.
