Position Overview โ€“ Construction Coordinator

We are seeking a highly organized and detail-oriented Construction Coordinator to join our Beverly Hills / Westwood team. This role is critical to the success of our restoration projects, ensuring smooth communication between customers, project managers, and subcontractors while tracking project progress from start to finish.

Key Responsibilities:

Customer Satisfaction & Communication:

  • Act as a primary point of contact for customers throughout the restoration process.
  • Assist in managing customer experience, ensuring their concerns and questions are addressed.
  • Monitor client requirements and ensure expectations are met.
  • Schedule and coordinate warranty activities to ensure quality standards are maintained.

Project Initiation & Administration:

  • Enter new leads and jobs into the companyโ€™s operating system with accurate and detailed information.
  • Receive and log customer calls and job referrals.
  • Schedule the initial site visit for the Construction Manager with customers.
  • Educate customers on the construction and restoration process.
  • Review and validate project file documentation for completeness and accuracy.

Project Planning & Coordination:

  • Confirm project scope of work with the Construction Manager.
  • Maintain consistent communication with clients, customers, and subcontractors.
  • Assist Construction Managers in ensuring customer and client agreement on scope, timeline, and estimate.
  • Ensure all paperwork and documentation are complete and properly filed.
  • Assist with scheduling and coordination of subcontractors.
  • Sign up new subcontractors using Subcontractor Agreements and verify insurance & licensing compliance.
  • Issue Purchase Orders (POs) based on the approved project budget.
  • Acquire necessary permits and ensure compliance with local building codes.
  • Schedule and manage building inspections with municipal agencies.

Project Execution & Closeout:

  • Monitor budget updates and track project expenses.
  • Order materials and supplies as needed for active projects.
  • Update project schedules and timelines, ensuring work progresses on time.
  • Validate Purchase Order (PO) documentation to ensure accuracy.
  • Maintain the Work-in-Progress (WIP) report and update internal tracking systems.
  • Keep customers and clients informed about project changes, updates, and any necessary change orders.
  • Prepare and submit project reports to management.
  • Manage collections activities, ensuring timely payments and account follow-ups.
  • Perform project closeout activities, ensuring all documentation and final reports are properly filed.

Qualifications & Skills:

โœ” Minimum 2 years of experience in business administration, project coordination, or customer service.
โœ” Knowledge of business software technologies and project management tools.
โœ” Excellent customer service, administrative, and verbal/written communication skills.
โœ” Intermediate math skills to track budgets and financial reports.
โœ” Experience in restoration and/or construction industry preferred.
โœ” Strong organizational and multitasking abilities.
โœ” Ability to work in a fast-paced environment while maintaining attention to detail.
โœ” Associateโ€™s or Bachelorโ€™s degree preferred (High School Diploma or GED required).


Work Environment & Job Requirements:

  • Office-based role with occasional field coordination responsibilities.
  • Standard office hours with occasional overtime based on project demand.
  • Must be able to handle multiple tasks simultaneously and adapt to changing priorities.
