π About the Role

Harvard Business School (HBS) is looking for a Faculty Support Specialist (FSS) to provide high-level administrative support to faculty members. The role is essential in enhancing teaching, research, and institutional functions.
You will serve as a trusted administrative partner for faculty, managing schedules, research support, and coordination of academic programs. This role requires strong organizational skills, professionalism, and adaptability in a dynamic, fast-paced environment.
π Key Responsibilities

Administrative & Faculty Support:
βοΈ Serve as the primary administrative assistant for multiple faculty members
βοΈ Act as a liaison between faculty, students, departments, and external stakeholders
βοΈ Maintain confidentiality and handle sensitive information with discretion
β
Course & Teaching Assistance:
βοΈ Assist with course materials preparation, syllabus updates, and grading coordination
βοΈ Manage course platform updates and upload academic resources
βοΈ Arrange logistics for class visitors and guest speakers
βοΈ Prepare presentations and handouts for lectures
β
Scheduling & Calendar Management:
βοΈ Coordinate complex calendars for faculty, scheduling meetings, events, and lectures
βοΈ Plan and organize faculty travel, including flights, accommodations, and visas
βοΈ Handle last-minute changes and scheduling conflicts efficiently
β
Research & Document Support:
βοΈ Assist faculty with gathering books, articles, and online research materials
βοΈ Proofread, format, and organize case studies, research papers, and academic documents
βοΈ Manage references and citations for academic publications
β
Finance & Expense Management:
βοΈ Track and process expense reimbursements in a timely manner
βοΈ Maintain accurate financial records and documentation
βοΈ Ensure compliance with Harvard Business Schoolβs financial policies
β
Event & Conference Coordination:
βοΈ Organize seminar series, research conferences, and faculty events
βοΈ Plan logistics, send invitations, and coordinate event materials
βοΈ Ensure smooth execution of all academic and networking events
β
Office & Communication Management:
βοΈ Handle emails, correspondence, and inquiries on behalf of faculty
βοΈ Maintain a clean and professional workspace with necessary supplies
βοΈ Greet visitors and create a welcoming office environment
π Required Qualifications
β
Education & Experience:
βοΈ High School Diploma or GED required
βοΈ Minimum 3+ years of experience in administrative, executive, or faculty support
βοΈ Hands-on experience with Microsoft Office Suite (Word, Excel, PowerPoint)
π Note: A technical assessment on Microsoft Office tasks will be part of the interview process.

βοΈ Excellent communication skills (written and verbal)
π Preferred Qualifications
βοΈ Experience in higher education, business administration, or academic research support
βοΈ Familiarity with Learning Management Systems (Canvas, Blackboard, or Brightspace)
βοΈ Background in faculty recruitment, academic events coordination, or research assistance
βοΈ Knowledge of Harvard University policies and procedures is a plus
