✨ Position Summary
Ogletree Deakins’ Raleigh office is hiring an experienced Litigation Practice Assistant to support a dynamic team of attorneys within the Labor & Employment practice group. In this critical role, you’ll provide high-level legal and administrative support in a collaborative, fast-paced environment. You’ll work primarily with assigned attorneys and provide backup assistance across the team as needed.
🧾 Key Responsibilities
📄 Document Preparation & Review

Draft, format, and revise legal documents, memoranda, and correspondence using word processing and document management systems

Proofread and edit documents for grammar, structure, and legal formatting
-
Prepare filings for electronic submission in state and federal courts
-
Handle large volumes of complex legal document preparation and formatting
📬 Mail & Communications
-
Process incoming/outgoing mail and faxes
-
Arrange messenger services for time-sensitive deliveries
-
Ensure complete enclosures and attachments in all communications
📅 Calendaring & Timekeeping
-
Maintain calendars for attorneys, tracking court dates, deadlines, meetings, and events

Prepare attorney time entries and expense reports
-
Coordinate billing processes and communicate with the billing team
🗂️ File & Records Management

Organize, update, and retrieve physical and electronic files in compliance with firm protocols
-
Maintain administrative and chronological filing systems
🛠️ Administrative & Client Support

Manage phones, greet clients, and handle meeting arrangements
-
Coordinate attorney travel and prepare itineraries and travel expense reports
-
Prepare new matter documents and assist with client onboarding tasks
⭐ Advanced Responsibilities (as needed)

Assist during complex client meetings, including note-taking and logistics

Mentor and train new legal staff or pilot firm software rollouts

Support seminars, events, and other special legal projects
📌 Qualifications
-
Minimum 10 years of legal secretarial or practice assistant experience
-
Proficiency in legal terminology, litigation processes, and document formatting
-
Accurate typing speed of 70+ WPM
-
Strong computer skills (MS Office, document management systems, e-filing, etc.)
-
Exceptional written and verbal communication skills
-
Proven ability to manage competing deadlines, multitask, and stay organized
-
Experience with legal calendaring and case management tools
-
Must demonstrate professionalism, leadership qualities, and discretion with confidential information
